Dates and Deadlines

All students are responsible for verifying important deadlines such as the add/drop dates for courses, and dates for withdrawal with/without a ‘W' standing. Registration (add/drop & withdrawal) dates are not posted here.  Please refer to the online Student Service Centre Course Schedule.

Doctoral candidates preparing for the final doctoral exam should follow the Doctoral Deadlines, as posted by the Doctoral Exams Unit of Graduate and Postdoctoral Studies.

Bursary Program at UBC

UBC offers non-repayable funding through the UBC Bursary Program. The support eligible students receive is determined by an assessment of financial need, and the difference between the student's costs and resources. Calculations consider education costs and standard allowances for living expenses to determine the total cost of study. This is compared against the student's personal resources (including scholarships), and if the applicant is considered a dependent student, the family's resources are also considered. Christmas Break - SCARP Office Closed

SCARP office is usually closed for Christmas Break from 12 noon on Christmas Eve day until the first working day in January.

Doctoral Awards: Affiliated Fellowships

The Faculty of Graduate and Postdoctoral Studies offers approximately 50 Affiliated Fellowships each year to meritorious students for full-time study and/or research leading to a graduate degree. Awards are made on the basis of academic excellence, with applications open to current and prospective full-time UBC graduate students regardless of citizenship or visa status. Fellowship values range from $175 to $30,000, but most are in the range of $16,000.

Doctoral Awards: SSHRC & Affiliated Fellowships

The SSHRC Doctoral Fellowships and Joseph-Armand Bombardier Canada Graduate Scholarships (CGS) Doctoral Scholarships aim to develop research skills and assist in the training of highly qualified personnel by supporting students who demonstrate a high standard of scholarly achievement in undergraduate and graduate studies in the social sciences and humanities. Applicants apply for both awards by completing one application form. If you are eligible for both awards, SSHRC will automatically consider you for both. SCARP Students should contact the Graduate Administrator for information about deadlines and application procedures.

Graduation application

Applications for May graduation open in December and close in February. To graduate in November apply from June to September.

May Graduation: Congregation Ceremonies at the Chan Centre for the Performing Arts. Be sure to check schedule for SCARP students.  

November Graduation

Fall Congregation Ceremony for SCARP students. 

Orientation for SCARP Students

SCARP First Year Orientation. All students are expected to attend Orientation, there are no SCARP classes scheduled in this week. Schedule TBA.

**Be sure you are aware of the start date of your Winter Session Term 1 courses if you are registered in classes outside SCARP .**

SCARP Second Year Orientation TBA. Check with the SCARP office.

Professional Project Booking Deadline

Professional Project Booking Deadline: All forms must be submitted to the SCARP office by 2 pm on the deadline.

Required forms/documents include: signed professional project booking form, exit survey, one PDF copy of professional project (sent via email to the graduate administrator).

All forms are available on the forms page of the SCARP website.

If the documents are not received by the deadline, the student will have to present on the next scheduled project presentation date.

Program Record Submission Deadline

Deadline to submit updated Program Record to the Graduate Administrator. Submissions should be done over email. Required signatures and signed transcript must accompany the form.

Progress Reports Monday, August 21, 2017

Students entering their 3rd year, are required to submit a progress report to SCARP. Progress Reports must be submitted to the SCARP office (to the graduate administrator). 

Project Presentation Day

Check with the SCARP office about dates for SCARP Project Presentation Day.

Reading break

No Classes. SCARP office remains open. 

Term 1 at SCARP begins

SCARP classes start in the second week of UBC Term 1, after SCARP Orientation week.

Term Dates for the UBC Academic Year

Students should check individual SCARP courses for start and end dates. 

Thesis Submission
U-Pass Exemption Deadline

Last day for eligible students to apply for an exemption from the U-Pass program. Consult U-Pass Eligibility for information and instructions.

Vacate WMAX offices

Student offices in West Mall Annex should be cleared of all personal items by August 15th

Western Deans' Agreement Deadline

The Western Dean's Agreement allows UBC students to take courses for credit at other universities in western Canada.
